Who we are

We are the Webster’s Whittington School Charity and Estates, (the ‘Charity’); further information may be found on the ‘About’ and ‘Governance’ pages.

Our website address is: https://websterwhittington.com.

We can be contacted through the contact form on the ‘Contact’ page, or at webstercharity@gmail.com.

The Charity is registered with the Charity Commission for England and Wales. Registered Charity No. 527010.

There is a link on the ‘Governance’ page to access the Charity’s details held on the Charity Commission’s website.

As noted on the ‘Governance’ page, there are a number of Trustees, or Governors, who are resident in the area, and who are all volunteers and are responsible for controlling the work, management, and administration of the Charity. Consequently, the Charity as an organisation does not have a physical or a registered address.

The Charity is registered with the Information Commissioner’s Office, (www.ico.org.uk). The Charity has the Registration Reference No ZA548032, under the General Data Protection Regulation (GDPR)/Data Protection Act 2018. Organisations that process personal data are subject to the GDPR and the Data Protection Act 2018. You can view the Charity’s details on the Information Commissioner’s website here: ICO Entry.

Grant Application Forms

The information provided on grant application forms by students is used only for the purposes of awarding grants and is kept securely. It will be treated as confidential and will not be shared with any other organisation for any reason. It is retained on file only for the period during which it is in use and is thereafter disposed of as confidential waste by shredding.

What personal data we collect and why

We only collect personal data that is necessary for the administration of the site and to respond to comments left by visitors to the site, or to respond to comments or requests made through the contact form. The data collected for the administration of the site may include personal data, such as name, email address, and technical data, such as information about cookies and analytics.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it.

The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture, if you have one, is visible to the public in the context of your comment.

Contact Form

The contact form on the ‘Contact’ page collects only your name, email address, subject and message details or requests, and the information is stored in the database on the server that hosts this website. Contact form submissions are retained only for the period of time necessary to respond to messages or requests and provide closure. In any event, contact form entries will not be kept for more than six months, this being the typical duration of the annual student grant cycle, from initial enquiry to award of grant. The information submitted through the contact form is not used for any other purpose and will not be shared with any other organisation for any reason.

Cookies

If you leave a comment on our site, you may opt-in, (i.e., consent to), to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

Analytics

This site uses WP (WordPress) Statistics for analysing website use and traffic, (that is how many people visit the website, where they’re coming from, what browsers and search engines they use, and which website contents, categories, tags, etc., get visits). Because the analytics is provided by the same platform on which the website operates, i.e., WordPress, there is no need to send users’ data anywhere, all the data is saved locally in WordPress. All these data are recorded on the server hosting the website, and WP Statistics is GDPR compliant.

This site uses Search Engine Optimisation, (SEO), to improve ranking in search engines, such as Google.

How long we retain your data

We only collect personal data that is necessary for the administration of the site and to respond to comments left by visitors to the site, or to respond to comments or requests made through the contact form. The length of time that personal data is retained is mainly driven by the duration of the annual student grant cycle, with contact form entries kept for no more than six months and analytics records for no more than a year.

What rights you have over your data

If you have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Embedded content from other websites

Articles on this site may include embedded content (e.g., videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Caching

This site utilises caching in order to facilitate a faster response time and better user experience. Caching potentially stores a duplicate copy of every web page that is on display on this site. All cache files are temporary, and are never accessed by any third party, except as necessary to obtain technical support from the cache plugin vendor. Cache files expire on a schedule set by the site administrator, but may easily be purged by the administrator before their natural expiration, if necessary. We may use QUIC.cloud services to process and cache your data temporarily. Please see https://quic.cloud/privacy-policy/ for more details.
